
A note before we begin
A reader who runs a hospital department wrote to me last week to say her calendar is fully optimized and she is still drowning. I do not think this is unusual. I think it is the hidden cost of treating time as the bottleneck. It is not.
Energy accounting
Time management is a lie. Not because time does not matter. Because time is not the bottleneck.
You have the same twenty-four hours as everyone else. The reason your most productive friend gets more out of theirs is not that they manage time better. It is that they manage energy.
Tony Schwartz and Jim Loehr at the Human Performance Institute studied this for years. Their conclusion was blunt. Time is finite. Energy is renewable. Manage the renewable resource.
In radiology, I do not read every case at 9 AM the same way I read every case at 5 PM. The pattern recognition is different. The error rate is different. The fatigue load is different. Treating those hours identically would make me dangerous to patients.
The same is true of your week.
There are four currencies, not one. Physical energy is the foundation. Emotional energy is the relational fuel. Mental energy is the focus reserve. Spiritual energy is the meaning supply. Each runs on a different replenishment cycle. Each gets spent at different rates depending on what you ask of yourself.
The people who appear to have superhuman output are not working more hours. They are spending the right currency on the right task.
THE BIG IDEA
Your calendar is a list of time slots. Your real schedule is an energy map. The slot at 3 PM looks identical to the slot at 9 AM on the calendar. They are not the same instrument. Mismatched energy and task is the silent driver of bad work and tired Mondays.
For the kids (and the big kids among us)
Manage your energy, not your time. The clock is the same for everyone. Your battery is yours alone.
Your three moves this week
Try one. Try all three. The point is the daily repetition, not the activity.
The Energy Map. For one week, note your energy level (high/medium/low) at three points each day. Notice the pattern.
Why this works: You cannot match work to energy until you know your own rhythm.
The Best Hour Block. Identify your highest-energy hour of the day. Protect it for the work that requires the most expensive currency. No meetings. No email.
Why this works: Most people give their best hour to whatever email arrived first. The math is cruel.
The Recovery Slot. Schedule a 20-minute recovery block after any cognitively expensive task. Walk. Water. Window. No phone.
Why this works: Recovery is not absence of work. It is the cycle that lets the next contraction happen.
